Managing Members & Roles

Your member roster is the foundation everything else builds on. This guide covers how to add people, assign the right roles, delegate admin work safely, and clean up when members leave.

Roles overview

Every person in your co-op has one primary role. Roles control what they can see and do inside the app:

Owner

Full access to everything, including billing, audit logs, and ownership transfer. Only one person can be the owner at a time. The owner is usually the co-op director or primary coordinator.

Admin

Can manage most co-op operations. By default an admin sees everything and can change most settings — but you can scope their access to specific areas using granular permissions (see below). A co-op can have multiple admins.

Teacher

Can view their class rosters, take attendance, enter grades, and create assignments. Teachers don’t see billing, member lists, or admin settings. A person can be both a family member and a teacher at the same time.

Family

The default role for co-op families. Can browse classes, enroll students, view the directory, use the forum and community pages, and manage their own profile. No access to admin tools.

Tip: Roles are mutually exclusive — a person has exactly one at a time. If a family member also teaches a class, don’t change their role: assign them as the teacher on that specific class from Admin › Class Catalog instead. They keep their family role and gain teaching access to just that class.

Adding members to your co-op

New families and teachers always come in through your join link. A separate direct-invite tool exists for a narrower case: adding someone who already has a HomeschoolGo account straight into an Admin or Teacher role.

Application flow (how everyone new joins)

Share your co-op’s join link (found at the top of Admin › Applications). Anyone who clicks it submits an application you review before approving — this is how new families and first-time teachers join, and it’s required if you charge a join fee, since the fee is collected automatically when you approve.

Direct invite (existing accounts only, Admin or Teacher)

Go to Admin › Members and use the Invite a team member form. Enter the email of someone who already has a HomeschoolGo account and choose Admin or Teacher. They’re added to your co-op in that role immediately — no application, no join fee. There’s no email option here for the Family role, and it won’t create a brand-new account for someone who hasn’t signed up yet; for that, share the join link instead.

Note: A parent who is also a teacher doesn’t need two accounts. Once their family account exists (through the join link), assign them as a teacher on the specific class they’ll teach — see “Giving someone access to teach a class” below. Their role stays Family; teaching access comes from the class assignment, not from changing their role.

Reviewing applications:Go to Admin › Applications. Use the search bar to find a specific applicant by name or email, and the status filters (Pending, Approved, Rejected) to narrow the list. Each row shows the applicant’s answers, any waivers they signed, and their students’ information — click a row to open the full application. Long answers are collapsible so the review page stays readable. Approve & invite creates their account and sends an invitation email. Rejectcloses the application without creating an account — they can reapply through the join link if circumstances change. Check the boxes on multiple pending applications (or use Select all) to approve or reject them together from the bulk action bar instead of reviewing one at a time.

Household member invites (self-serve)

Families can link a spouse, co-parent, or guardian into their own household without any admin involvement. On My Profile, the Household Members card has an Invite a household memberbutton — they enter the other person’s email and pick a relationship, and HomeschoolGo handles the rest:

  • If the email has never signed up, it sends an invite that lands the new person in the same family, seeing the same students.
  • If the email already has a HomeschoolGo account with no family in your co-op yet (a teacher-only login, for example), it links them in directly — no invite step.
  • If the email already belongs to someone with their own separate family recordin your co-op, the invite is refused — that household is already split across two records. An owner or admin can join them with the merge tool below; because it moves students, payments, and registrations one way, it stays out of the self-serve flow.
Tip: This is what fixes the “my spouse and I each signed up separately and now we’re two rows in the directory” problem when it’s caught early. If both people have already built up their own family record, use the merge tool below to combine them.

Household members can set the name shown for them across the co-op, so it doesn’t have to match their email address or the name on their account. In the Household Members list, click the pencil next to your own name — everyone can only edit their own, not anyone else’s.

The one exception is the family’s primary contact, who won’t see a pencil. Their name comes from the primary contact fields in Family Information, which already update everywhere the name appears — editing it there is the single place to change it.

Merging duplicate families

When one household ends up on two family records — usually two parents who each signed up instead of one inviting the other — an owner or an admin with the Manage members permission can combine them into one. The Members page flags likely duplicates (families that share an email, phone, or name) in a Possible duplicate families card.

Spouses or co-parents who each signed up under different names and separate contact info (so nothing matches automatically) won’t show up in that card. Use the Merge two families search box just below it instead — look up each record by name or email and it opens the same review-and-merge screen.

1On the flagged pair (or the two records you searched for), click Review & merge. The preview shows both records side by side, with the more-established one marked as the surviving record. Click Keep this record instead if the other one should survive.
2Check what happens to each child on the record being removed: Combine means it matched the same child on the surviving record and the two are folded together, Move means it has no match and moves over as its own student, and Review means it looks like the same child but has overlapping class or grade records, so both are kept for you to reconcile by hand. Nothing academic is dropped.
3Type MERGEto confirm. The surviving record absorbs the other family’s students, payments, registrations, contacts, and volunteer history, and the duplicate record is removed.
Note: A merge can’t be undone, so read the preview before you confirm. It combines the household only — each adult keeps their own login and role, so a parent who is also a teacher stays a teacher.

Changing a member's role

Open a member’s record in Admin › Members and use the Role section to make changes. This is owner-only by default, but an owner can hand it to a specific admin — see Change member roles under Admin permission levels below.

Giving someone access to teach a class

This is usually what you actually want, and it doesn’t touch anyone’s role. Open the class from Admin › Class Catalog, find the Teachers field, and start typing the person’s name to assign them. Any org member can be assigned this way — it grants access to that class’s roster and gradebook in the Teaching section, and their overall role (Family, for example) is unaffected.

Changing someone’s overall role

A member has one role at a time: Family, Teacher, or Admin. Open their record in Admin › Members and use the Change rolecontrol to set a new one. Changing someone to Admin gives them access to the admin console immediately — you’ll want to set their permission level at the same time (see below). Changing someone away from Admin revokes that access immediately, but their family data and student records stay intact either way.

Transferring Ownership

On Admin › Members, find your own row and open the Owner actionsmenu (the three-dot icon — it only appears on the owner’s own row), then choose Transfer ownership…Any active member can be the new owner — they don’t need to already be an admin, but they can’t be suspended. After confirming, they become the new owner and you drop to Admin. Only the current owner sees this option.

Note: Role and assignment changes take effect immediately. The member doesn’t need to log out and back in — their next page load reflects the new access level.

Admin permission levels

When someone has the Admin role, you can scope their access to specific parts of the app. This lets you delegate work without handing over full control.

Find the admin on Admin › Members, open their Member actions menu, and choose Edit permissions. The available permissions are:

Manage members

Invite and remove admins and families. Suspending a member stays owner-only regardless of this permission.

Change member roles

Change another member’s role between Family, Teacher, and Admin. It’s separate from Manage members and off by default. It doesn’t let an admin change an owner’s role, or their own.

Create and edit school terms.

Manage classes

Create and edit the class catalog.

Manage registration

Manage registration windows and member requests.

Manage families

View and edit family and student records.

Manage payments

Manage charges, payments, and credits.

Manage volunteers

Manage volunteer policies and shifts.

Send announcements

Send announcements to all members.

Manage events

Create and manage events on the calendar.

Manage content

Manage FAQs, links, and other co-op content.

View reports

Access reports and data exports.

Tip: A newly invited admin starts with every permission except Manage payments and Change member roles— both need to be turned on deliberately from the Edit permissions dialog on their member record. For a read-only-style admin who can view reports without making changes, uncheck everything except View reports.

Owners always have full access regardless of any permission settings — the permission system only applies to the Admin role. Editing another admin’s permissions is always owner-only, even for an admin with Change member roles turned on.

Guardian birthdays

Guardians can add a birthday to their profile, with the year being optional. This gives admins a heads-up to recognize community members on their birthday.

To add yours, go to My Profileand look for the birthday field in the personal information section. Enter the month and day — or month, day, and year if you want to share the full date.

Admins see a birthday count pill at the top of the Familiespage. Click it to open a list of everyone — guardians and students alike — with a birthday coming up in the next 30 days. It doesn’t require the year to be set — it just needs a month and day to work.

Tip: Birthdays are visible to admins only, not to other co-op members. Guardians choose whether to add them at all.

Suspending a member

There’s one tool for taking away a member’s access, and it’s reversible: Suspend, on a member’s record in Admin › Members (open their Member actions menu and choose Suspend member). A suspended member can’t log in and is hidden from the directory, but their record, enrollments, and payment history stay intact. Click Reactivate on the same record at any time to restore them.

There’s no separate “permanently delete this account” option in the admin panel — suspend is the tool to reach for even when a family is leaving for good, since it keeps their history in your ledger without giving them access.

Only the owner sees the Suspend option, even for an admin with the Manage members permission. If an admin needs to suspend someone, ask the owner to do it or to transfer ownership to them.

Tip: Use suspend for unpaid balances, a family on leave, or a family that has left the co-op. It’s always reversible, so there’s little downside to reaching for it.

Teacher roster access

By default, a teacher only sees rosters for classes they’re assigned to teach. On Admin › Members, the Teacher roster access card has a toggle, Teachers can see all class rosters, that opens every class roster to every teacher — useful for substitute coverage or a small co-op where teachers cover for each other.

From their Roster tab in Teaching, a teacher can click Download CSVto export their class’s roster — name, grade, allergies, and medical notes, plus parent contact info if they have permission to see it — for printing or sharing outside the app.

Reaching a group of families at once

Bulk selection lives on the Familiespage (the member directory), not on Admin › Members — that page manages roles and permissions one person at a time. To reach a specific group of families:

1Go to Families in the sidebar.
2Open the “…” options menu and choose Select to message. Checkboxes appear on each family.
3Check the families you want to reach. Use the search box above the list to narrow it down first if you’re picking from a large roster.
4Click Email selected (or Text selected, if SMS is enabled on your plan).
Note: This opens the Announcements (or Texting) composer with a Selected familiesaudience already filled in — it’s not a private message. Those families see it exactly like any other announcement or text, just scoped to the group you picked instead of your whole co-op. See the Announcements & Email Blasts guide for the full flow.

For charging a group of families the same amount — semester dues, a late fee — use Bulk invoice from the + Newmenu on Admin › Billing instead; it charges every family in the co-op the same amount in one step and skips anyone already charged the same description this term.

Common questions

A teacher wants to also enroll their own children. Do they need two accounts?

No. They can set this up themselves — no admin action needed. Have them open My Profile and click the Set up your family card, then add their children. Their family shows up in the directory automatically and their teacher role is unaffected.

A family applied but I can’t find them in the application queue.

Check whether the application was already acted on — approved or rejected. The default view in Admin › Applications shows pending applications only. Use the status filter to see all applications including reviewed ones.

I suspended a family by mistake. Can I undo it?

Yes — suspension is fully reversible. Open their record in Admin › Members and click Reactivate. Nothing was deleted while they were suspended, so their profile, enrollments, and payment history come back exactly as they were.

Can I see which admin made a specific change?

Yes. Go to Admin › Settings and open the Audit log tab (owners only). Every significant admin action is recorded with the person’s name, what they changed, and when.
