Reports & analytics

Admin → Reports is where your co-op's enrollment, financial, and volunteer numbers live, a hub page with quick totals, dedicated pages for deeper financial and cross-term views, and a builder for pulling together a custom export. Reporting requires the Plus plan.

The Reports hub

Go to Admin → Reports. The hub shows a term switcher at the top and a summary strip — total classes, total enrollments, total charged, and outstanding balance for whichever term is selected — each with a trend badge comparing it to the previous term where there's data to compare against.

Below the summary strip are cards linking to six deeper views: Financial reports, Trends, Enrollment, Volunteer credits, Delinquency, and the Report builder.

Enrollment & volunteer credits

Enrollment shows fill rates and capacity for the selected term, class by class. Volunteer creditslists every family's total credits earned this term, sorted highest to lowest, so you can compare it against the per-family requirement you set on the Volunteer Policy page.

Financial reports covers three things, all on one page:

Outstanding balance aging

Every family with a balance due, across all terms, bucketed by how long it's been open (0–30, 31–60, 61–90, and 90+ days), shown on screen as bucket totals and a per-family table, with a downloadable CSV. The CSV goes further than the on-screen table: a family whose whole balance is covered by a bank (ACH) payment that's still settling shows in its own Processing bucket instead of an age bucket, since that money is on the way rather than overdue, and it includes a Method column so you can see how each family has been paying.

Payment timeline

A chart of cumulative charged vs. collected amounts for the selected term. The gap between the two lines is what's still owed for that term.

Teacher payouts & 1099

A year-switchable summary of what each teacher was paid in a calendar year, flagging anyone who's crossed the 1099-NEC reporting threshold. This mirrors the Teacher Payouts CSV export.

Delinquency report

Delinquencytracks who owes the current term’s required join fee, separate from families who simply haven’t started their term-start review yet. It only has something to show when the active term has a join fee set to required.

It splits families into two lists. Owesis families who’ve started the term — a required join-fee charge is already on their account — but haven’t paid it. Lapsedis families who haven’t engaged with the term at all yet, so they don’t owe anything until they do. A Withdrawaction sits next to each family in the Owes list for when it’s time to remove someone who isn’t going to pay.

The custom report builder

Report builder lets you build your own export instead of using one of the fixed reports above. Pick a dataset — Families, Enrollments, Charges, Attendance, or Volunteers — choose which columns to include, apply filters (term, status, or a date range, depending on the dataset), and the results appear in a table on screen. The screen preview caps at 200 rows for readability; the Download CSV button always exports every matching row.

Tip: Changing the dataset resets your column and filter choices, since each dataset has its own set of available columns and filters.

Treasurer exports & full data backup

The bottom of the Reports hub has a Treasurer exportscard with three one-click CSV downloads: a billing summary for the current term (per-family charges, payments, credits, refunds, and balance), the outstanding balance aging report, and the current year's teacher payouts summary.

Both the billing summary and the aging report include a Method column and a Processingamount, so a family paying by bank transfer isn't counted as behind while their payment is still settling. It shows separately instead of adding to what they appear to owe.

Owners (and admins with the View reports permission) also see a Data export card there, with a Download ZIP backup button that exports everything else — roster, classes, payments, attendance, volunteer hours, and more — in one file.

Note: Reporting (the hub and every page linked from it) requires the Plus plan. On other plans, Admin → Reports shows an upgrade prompt instead.
