Teacher Payouts

Track what each teacher has earned from paid class enrollments and record payouts to them on your own schedule. Designed for enrichment centers, hybrid academies, and co-ops where teachers are paid contractors rather than volunteer parents.

1. Who this is for

Most homeschool co-ops are volunteer-run: parents teach each other's kids and there's no money changing hands between the co-op and individual teachers. If that describes you, you can skip this feature entirely.

Teacher Payouts is built for groups that operate more like a business: enrichment centers, hybrid academies, tutorials, and co-ops with paid contracted teachers. In those models, families pay the organization, and the organization needs to pass each teacher's share of the tuition along to them on some cadence — weekly, monthly, end-of-term, whatever your arrangement is.

This feature gives you a running ledger of what each teacher is owed, plus a simple way to record that you've paid them. It doesn't move money — you still cut a check, Venmo, or do an ACH transfer outside HomeschoolGo. What it does is keep the accounting honest so nobody has to keep their own spreadsheet.

2. How earnings are tracked

Here's the flow end to end:

1A family pays for a class through HomeschoolGo's checkout. The money lands in your organization's Stripe account, same as always.
2HomeschoolGo notices that the class has one assigned teacher and automatically records an earningfor that teacher: an entry in the ledger that says “this teacher is owed the class fee plus the materials fee for this enrollment.”
3The earning sits in Outstanding until you decide to pay it out.
4When you actually pay the teacher (check, Venmo, Zelle, ACH — whatever you've agreed on), you come back into HomeschoolGo and click Record payout. You pick which earnings this payment covered, enter the method and reference number, and submit. Those earnings move from Outstanding to Settled.
5The teacher can see the same picture from their side: total earned, total paid out, and what's still pending.

The earning amount is the class fee you set when you created the class, plus a materials fee if one is set on the class (there isn't currently a field to add a materials fee from the class page — see the class catalog guide for how fees work today). The assumption is that if a teacher is buying supplies for their own class, any materials amount passes through to them along with their teaching fee. If that's not your arrangement — for example, you run the supply orders centrally and want to keep that amount in the org's account — use a manual adjustment to back it out.

Note: Earnings are only recorded for class fees collected through HomeschoolGo's Stripe checkout. If a family pays you another way (cash, off-platform Venmo, etc.) the system doesn't know about it — you'll need to add a manual adjustment to credit the teacher.

3. One-time setup

There's no toggle to turn on. As soon as a class with an assigned teacher gets a paid enrollment, earnings start accumulating. But to make sure things work the way you expect, walk through this checklist once:

1Make sure each class has a teacher assigned. Go to Admin › Classes, open each class, and confirm the teacher field is set. If no teacher is assigned, no earning will be recorded — even after the class is paid for.
2Check the class fee. The earning is computed from the fee set on the class itself. If your teacher takes a percentage rather than 100%, see the FAQ below for two options.
3Confirm each teacher has an account on the platform. Share your co-op's join link with them — the same one you give to families (copy it from Admin › Applications). Teachers leave the Children section empty and submit. Their application arrives in your queue with a Teacher badge, and on approval they land with the teacher role automatically. If a teacher already has a HomeschoolGo account at a different co-op, you can skip the application and use the Invite a team member form on Admin › Membersinstead (email + role Teacher) — that adds them to your co-op as a teacher without touching whatever role they hold at their other co-op.
Tip: The earnings ledger is forward-looking — it only captures enrollments paid after the feature was enabled on your co-op. If you have a backlog of payments from before that, add them with manual adjustments so the numbers reflect reality.

4. Reading the dashboard

From your Admin sidebar, click Billing. In the summary card at the top, click the Teacher payouts → link (you can also bookmark /dashboard/admin/teacher-payouts). You'll see three things at a glance.

  • Outstanding to teachers— the total dollar amount you owe across all teachers right now.
  • Paid out (lifetime)— the total of every payout you've recorded since you started.
  • Teachers with balance— how many people have non-zero outstanding earnings.

Outstanding by teacher

Below the summary, every teacher with earnings — paid or unpaid — is listed with their current owed balance. Teachers with money still owed appear with an amber owed label; teachers who are caught up show Paid up in green. The list is sorted so the largest outstanding balances are on top.

Untracked-enrollments notice

If any paid enrollments aren't being tracked automatically — because the class has no teacher assigned, has more than one teacher, or was paid before this feature was enabled — you'll see an amber banner near the top with the count. Use Manual adjustment to record those earnings.

5. Recording a payout

Once you've actually paid a teacher — written the check, sent the Venmo, kicked off the ACH — come back to HomeschoolGo and tell the system what you covered.

1On the Teacher Payouts page, click the teacher's row in the Outstanding by teacher list.
2A detail panel opens listing every unpaid earning for that teacher: the class, the date, the amount. By default all unpaid earnings are checked.
3Uncheck any you're not paying for yet. The running total at the bottom updates as you change the selection.
4Fill in the Methodfield — free text like “check,” “Venmo,” “Zelle,” or “ACH.” This is just for your records; HomeschoolGo does not initiate any actual transfer.
5Add a Referenceif you have one — a check number, transaction ID, or anything else that helps a future you (or your bookkeeper) cross-reference the entry against your bank statement.
6Click Record payout. You'll get a green confirmation toast, the selected earnings move to a Settled earnings list lower on the page, and a new row appears in the payout history table.
Note: If two admins try to settle overlapping earnings at the same time, one of you will get a friendly “An earning is already settled” error and the payout will not go through. Refresh the page and try again — the other admin's payout is already recorded.
Tip: You don't have to settle every earning at once. If you pay a teacher weekly but classes have been paid every day, you can select just the earnings that match what you sent today.

6. Manual adjustments

Real life doesn't always match the automatic earning flow:

  • A teacher earned a bonus you want to record.
  • A family was refunded mid-term and the teacher's share needs to be clawed back.
  • A family paid you in cash and the system has no record of it.
  • A co-taught class needs to be split manually.
  • You owe a teacher for prep time, travel, supplies, or any other line item.

For any of these, use Manual adjustment.

1Scroll to the Manual adjustment disclosure on the Teacher Payouts page and click to expand it.
2Pick the teacher from the dropdown.
3Choose the direction. + Owe teacherincreases what you owe them — use for bonuses, off-platform cash, or recording a co-taught share. − Clawbackreduces what you owe them — use after a refund, to fix a mistake, or anything where money needs to come back off the teacher's ledger.
4Enter the dollar amount and a short note explaining the adjustment. The note will show up in the teacher's earnings page, so write it as if they're going to read it (because they will).
5Click Record adjustment. The amount immediately updates the teacher's outstanding balance.
Note: Clawbacks can take an outstanding balance below zero if the teacher has already been paid out for the work being clawed back. In that case the next payout to that teacher will be reduced by the clawback amount — or you can ask them to send the difference back and record that as a payout in the opposite direction.

7. Co-taught classes

If a class has more than one teacher assigned, HomeschoolGo will notautomatically record an earning when a family pays for it. We didn't want to guess at how you split the money — 50/50? 70/30? Lead-teacher gets more? — and silently get it wrong.

For co-taught classes, do this instead:

1Watch the “N paid enrollments aren't tracked”banner at the top of the Teacher Payouts page — its count includes co-taught classes that were paid.
2When a family pays for a co-taught class, use Manual adjustmenttwice — once for each teacher — with the amount each should receive.
3Use the notes field to record which class and which student the adjustment is for. That makes reconciliation easier later.
Tip: If most of your classes are co-taught, that's a sign the per-teacher split is part of your operating model and we'd love to talk through how to make this easier. Use the chat bubble on any page to flag your use case.

8. Drops, refunds, and waitlists

These three scenarios all bypass the automatic earning flow. You'll need to handle them yourself:

Drops

If a family enrolls in a class, pays for it, and then drops mid- term, HomeschoolGo does notautomatically reverse the teacher's earning. Depending on your refund policy, you may want to keep the earning in place (the teacher did the work) or claw it back (the family was refunded and your books need to balance).

Refunds

Stripe refunds don't flow back into the payout system. If you refund a family, decide what the teacher's share should be and record a clawback adjustment for that amount.

Waitlist promotions

When a class fills up, paid enrollments go to the waitlist (status: waitlisted). Earnings are only recorded for enrollments that landed with status enrolled. If you manually promote a family from the waitlist later, no earning is recorded retroactively — you'll need a manual adjustment.

9. Payout history

Every payout you've ever recorded shows up in the Payout history table at the bottom of the page, most recent first. For each row you see the date, the teacher, the method, the reference number (if any), and the amount.

This is your audit trail. Combined with your bank statement and the underlying earnings (visible in each teacher's detail panel), it should be everything your bookkeeper or accountant needs at tax time.

Tip: We don't currently support editing or deleting a recorded payout from the UI. If you made a mistake, record an offsetting adjustment with a clear note rather than trying to undo the original. That keeps the audit trail honest.

10. The teacher's view

Teachers see a read-only version of their own ledger at /dashboard/teaching/earnings — accessible from the Teaching submenu in their sidebar.

On that page they see:

  • Total earned, total paid out, and outstanding balance.
  • A line-by-line list of every earning event — the class title, the date, the amount, and whether it's been paid out yet.
  • A table of payouts received, with the date, method, reference, and amount.

Teachers cannot see other teachers' data — only their own. Database-level row security enforces this, not just the UI.

Note: Teachers who are also admins/owners (common in small organizations) will see both the admin Teacher Payouts page and their own Earnings page. Their own earnings appear in both views.

11. Taxes & 1099s

HomeschoolGo does not file taxes on your behalf, and it does not generate 1099 forms. Whether your teachers count as employees or independent contractors, and what tax forms you need to issue, depends on your jurisdiction and your relationship with each teacher. Talk to your accountant.

What HomeschoolGo gives you is the underlying data on-screen: a full payout history per teacher, a year-to-date total, and the method/reference for every payment you've recorded. That covers most accountants' needs for end-of-year reporting.

Tip: You can export a year's worth of teacher payouts as a CSV from Admin › Reports — scroll to Treasurer exports and click Download CSVnext to “Teacher payouts.” It totals what each teacher was paid this year and flags anyone who crossed the 1099 threshold — useful for sharing with a bookkeeper or accountant at tax time.
Note: In the US, the threshold for sending a 1099-NEC is generally $600 paid to a non-employee in a calendar year. Use the per-teacher totals to identify who crossed that line.

12. Common questions

Why isn't the family's payment showing up as a teacher earning?

Three possibilities:

  • The class has no teacher assigned, or has more than one teacher assigned. Open the class, check the Teacher field.
  • The enrollment landed on the waitlist (because the class was full at checkout). Look at the enrollment record.
  • The class fee is zero. Check the fee amount set on the class.

Can I pay a teacher directly from HomeschoolGo (Stripe Connect)?

Not today. HomeschoolGo tracks what you owe and what you've paid; the actual money movement happens outside the platform (check, Venmo, Zelle, ACH, etc.). The reason we chose this design over per-teacher Stripe Connect is that Connect requires every teacher to complete their own Stripe onboarding (bank info, ID verification), which is real friction. The payout-tracking approach in this guide keeps the family experience simple — one checkout, one receipt — and most centers prefer it.

If your teachers would rather collect tuition themselves (and your families are OK paying per-teacher), contact support — per-teacher Stripe Connect is on the roadmap as an opt-in alternative for orgs that want it.

What if I want a teacher to get a percentage instead of the full class fee?

The current earnings calculation gives the teacher the full class fee. For a percentage split, either set the class fee to the teacher's portion (and absorb the rest separately), or let the full amount accrue and use a clawback adjustment for the org's share.

Can teachers see what other teachers are earning?

No. Each teacher only sees their own ledger. The admin view is the only place where cross-teacher totals are visible.

I recorded a payout to the wrong teacher. How do I fix it?

Because payouts can't be edited or deleted from the UI, the cleanest path is to add a clawback manual adjustment to the wrong teacher (for the same amount, with a note like “Reversal of incorrect payout”) and then record a new correct payout to the right teacher once they have an earning to match. If that's not workable, contact support and we can fix it directly.

My teacher doesn't have children — can they still create an account?

Yes. Share your co-op's join link with them — the same public link you give to families. The Children section on the form is optional; teachers just leave it empty and submit with their own name, email, and any waivers your co-op requires. Their application arrives in Admin › Applicationswith a Teacher badge (auto-tagged because no children were listed). On approval they land with the teacher role — no family or student records are created for them.

The “owner control” you have over who joins as a teacher is the approval step itself. The form doesn't let an applicant pick their role; the admin sees what they submitted and decides whether to approve.

If a teacher already has an existing family account in your co-op (for example, a parent who also teaches), don't change their role — roles are mutually exclusive, so switching them to Teacher would remove their family access. Instead, assign them as the teacher on the specific class from Admin › Class Catalog › [class] › Teachers. They keep their family role and gain teaching access to just that class.
